Job
Duties/Responsibilities:

  • Contact agencies to receive CV’s for new vacancies
  • Liaise with hiring managers to arrange interviews either directly with candidates or through agencies
  • Prepare offer letters and send offer package
  • Send references to Doug Morley and when all three have been returned, route to the correct manager for approval.
  • Ensure security check forms are completed and processed for appropriate positions upon offer of employment
  • Track pre-employment medical returns
  • Send unconditional offer letters upon approval of references and receipt of an approved medical.
  • Organise career fairs and other recruitment events
  • Track and co-ordinate Recruitment Requisitions through UK Senior Management Team and Calgary
  • Call-Offs
  • o Prepare call-offs and send to correct agent.
    o Update contractor spreadsheet with new starters
    o Track call-off expirations and ensure updates are complete.
    o Answer questions relating to contractors through liaising with agent.

  • Effectively use recruitment module in PeopleSoft
  • o Entering candidate and keeping their profile up to date
    o Posting vacancies internally and externally and administering candidate response
    o Run weekly and monthly recruitment statistics and activity reports

  • Administer induction process, preparation of induction packs for employee/contractor new starts and inducting of employees/contractors on first day
  • Assist with interviews for administrative staff
  • Provide administrative support to the annual graduate recruitment drive. Contacting universities, receiving applications, co-ordinating assessment days and presentations to universities
  • Support with recruitment advertising – press, website, industry publications
  • Manage personal files ensure they are up to date and all documents are filed as necessary
  • Ensure Recruitment and Relocation filing is kept current
  • Raise relocation authorisation requests
  • First review of lease documentation and pass to Legal for approval and signature
  • Produce reports on weekly and monthly expatriate, secondment and assignment activity
  • Previous experience of working within an HR department or recruitment agency
  • Experienced user of databases, preferably a HRIS and
  • Working knowledge of Microsoft office (Word, Excel, PowerPoint) SAP
  • Proven administrative skills, Intermediate level
  • Preferred experience of working with Livelink and SAP.
  • Proven written & verbal communication skills
  • Certificate in Personnel Practice Or HNC / HND Business Administration preferable
